Privacy policy for MentorPairing

What this website collects, why it is collected, how long it is kept, and the rights you can exercise. Last updated September 4, 2026.

Who is responsible for your data

MentorPairing is published by MLJ, SASU, a French simplified joint stock company registered under SIREN 934 769 837, whose publication director is Jimenez Julien. MLJ, SASU is the controller of the personal data described in this policy. You can reach the controller at any time at jimenezjulien42@gmail.com. This policy covers the public website at mentorpairingapp.com. Program participant records held inside the MentorPairing application on behalf of a customer are governed by the data processing agreement signed with that customer, where the customer is the controller and MLJ, SASU acts as processor.

What the contact form collects

The only place this website collects personal data is the demo request form on the home page. When you submit it, the following named fields are transmitted: name (your full name), email (your work email address), company (your program or institution name), role (your job title, chosen from a list), request (whether you want a demo, early access or a quote), size (the size of your current cohort, chosen from a list), message (your free text description of what makes a good match in your program), and consent (your confirmation that we may store the message in order to reply). Three hidden fields travel with the submission: form-name, subject and recipient, which route the message to the right inbox. A honeypot field named bot-field is included to filter automated spam and is expected to remain empty.

Alongside the form content, the hosting platform records the technical metadata that accompanies any web request, including the IP address that submitted the form and the time of submission. This metadata exists to detect abuse and is not used to build a profile of you.

Why we process it, and on what legal basis

Your submission is used for one purpose: to answer your enquiry about MentorPairing, to prepare and run a demonstration if you asked for one, and to send you a written quote if you requested pricing for your program. Under the European General Data Protection Regulation, the legal basis is your consent, given by ticking the consent box, together with the legitimate interest of the publisher in responding to a commercial enquiry it did not solicit. We do not use your submission for advertising, we do not sell or share it with data brokers, and we do not add you to a newsletter or a marketing sequence. If our exchange ends without a contract, nothing further is sent to you.

How long submissions are kept

Contact form submissions are retained for twenty four months from the date of the last message exchanged, after which they are deleted from the form store and from the mailbox. If your program becomes a customer, the enquiry is retained for the life of the contract and for the statutory accounting period that follows, because it forms part of the commercial record. You can ask for earlier deletion at any time and we will act on the request within thirty days unless a legal obligation requires us to keep a record.

Netlify Forms and other processors

Form submissions are processed and stored by Netlify, Inc., 512 2nd Street, Suite 200, San Francisco, CA 94107, United States, which also hosts this website. Netlify holds submissions in its form store so that they can be retrieved and forwarded by email to the publisher. Google Fonts serves the two typefaces used by this site, which involves a request from your browser to Google servers for the font files. No other third party receives data from these pages.

Cookies and tracking

This website sets no advertising cookies, no cross site trackers and no third party analytics cookies. There is no tag manager, no advertising pixel and no session recording. The only client side storage this site can use is your browser's own handling of the page, which requires no consent banner because nothing is stored for measurement or marketing purposes. Because there is no analytics script, we cannot tell you which pages you personally visited, and we prefer it that way.

International transfers

Because the site is hosted in the United States and the publisher is established in France, form submissions cross the Atlantic. Transfers to Netlify, Inc. are covered by the European Commission standard contractual clauses incorporated into Netlify's data processing addendum, supplemented by encryption in transit and at rest. Where a customer requires that program participant data remain in United States data centers, that is the default configuration of the application.

Your rights under United States state privacy laws

If you are a resident of California, Colorado, Connecticut, Utah or Virginia, you have the right to know what personal information has been collected about you, to obtain a copy of it, to request its correction, and to request its deletion. You may also opt out of the sale or sharing of personal information and of targeted advertising. MentorPairing does not sell or share personal information and does not conduct targeted advertising, so there is nothing to opt out of, but the right is available to you and we will confirm this in writing on request. California residents may additionally request disclosure of the categories of personal information collected in the preceding twelve months, which for this website are identifiers and professional information. You will never be treated differently, refused a demonstration or offered a worse price because you exercised any of these rights.

Your rights under the GDPR

If you are in the European Union, the European Economic Area or the United Kingdom, you have the right of access to your data, the right to rectification, the right to erasure, the right to restrict processing, the right to data portability, the right to object to processing based on legitimate interest, and the right to withdraw consent at any time without affecting the lawfulness of processing carried out before withdrawal. You also have the right to lodge a complaint with a supervisory authority, which in France is the Commission Nationale de l'Informatique et des Libertes.

How to exercise your rights

Write to jimenezjulien42@gmail.com with the email address you used on the form and a short description of what you want. We answer every request within thirty days. We may ask one clarifying question to make sure we are acting on the right record, but we will not demand identity documents for a simple deletion request.

Children's privacy

This website and the MentorPairing service are intended for professional use by adults who administer mentoring programs. We do not knowingly collect personal information from anyone under sixteen through this website. Programs that pair university students operate with participants who are adults or who are enrolled under an institutional agreement that addresses student records. If you believe a minor has submitted information through this form, write to us and the record will be deleted immediately.

Security

Traffic to this site is encrypted with TLS. Form submissions are encrypted in transit and at rest. Access to the submission store is limited to the publication director. Application data is held in United States data centers with role based access control and logged exports.

Changes to this policy

When this policy changes, the date at the top of this page changes with it and the previous wording is replaced rather than kept in parallel. Material changes affecting how enquiries are handled are announced by email to active customers before they take effect.
